How to plan CRM sync across HubSpot, ServiceTitan, and Clio
Published by Phantom Workflow • Editorial contact: Kurt James
Last reviewed:
A CRM synchronization plan should assign an owner for each field and preserve identifiers across systems before enabling writes. Verify the actual resources and permissions in HubSpot, ServiceTitan, and Clio independently. Define how conflicting edits, missing records, and retries are handled. A connector listing is not proof of complete bidirectional synchronization.
Planning guidance based on the sources below. These are proposed workflows, not completed Phantom projects or client results. Account access and suitability require separate verification.
Scope the buyer decision
A field-level ownership map should explain which system is authoritative for contact context, job state, and matter information. Store stable record references rather than matching only by name. Use a review queue for conflicting edits instead of silently choosing the most recent value for every field.
What the documentation establishes
- HubSpot documents contact properties, record associations, and contact record management through its CRM API. Source: HubSpot
- ServiceTitan documents OAuth authentication, an app key for resource requests, and an Integration environment for testing. Source: ServiceTitan
- Clio documents custom fields on matters and contacts, with field definitions separate from values on individual records. Source: Clio
Proposed workflow and ownership
This table is a planning checklist. Confirm the account's supported access and the business's rules before implementation.
| Checkpoint | Decision to document |
|---|---|
| Identifiers | Map the stable record references each system exposes. |
| Ownership | Name the authoritative system and editor for every synchronized field. |
| Reconciliation | Review missing mappings and conflicting changes before retrying writes. |
Failure cases to review
Use these scenarios to define exceptions and staff ownership for this workflow.
- A contact exists twice under different identifiers.
- A user edit is overwritten by a delayed update.
- A partial sync is reported as complete across all systems.
Pilot acceptance checks
Test conflicting edits, duplicate contacts, unavailable permissions, and one destination failing mid-flow. Compare final records and confirm unresolved changes remain visible.
Questions to resolve before a pilot
Does a successful contact sync prove the whole workflow is integrated?
No. Each field, record relationship, and write path needs its own acceptance check. A contact operation does not establish job, appointment, or matter synchronization.
What should a pilot test?
Test conflicting edits, duplicate contacts, unavailable permissions, and one destination failing mid-flow. Compare final records and confirm unresolved changes remain visible.
Which documented options are relevant to this workflow?
HubSpot documents contact properties, record associations, and contact record management through its CRM API. ServiceTitan documents OAuth authentication, an app key for resource requests, and an Integration environment for testing. Clio documents custom fields on matters and contacts, with field definitions separate from values on individual records. Verify the permitted operations and account access for the intended pilot.
What should remain under staff control in this workflow?
Staff approve field mappings, conflict resolution, and recovery procedures. Report a partial sync as partial, and review missing mappings or conflicting changes before retrying writes.
